The opportunity

We’re growing fast and need the very best Finance Assistant to join our in-house Finance Team based in Bristol. 

You will help the Financial Controller to ensure the smooth day to day running of the Finance Departments transactional activities. Taking responsibility to accurately maintain receivable and payables ledgers, maintain and reconcile bank accounts, undertake necessary business administration while also work on ad-hoc accounts and payroll administration tasks as required by the Financial Controller. 

We’re looking for you to be organised, with high attention to detail and take pride in the work you do. You will be AAT qualified or currently studying the AAT qualification.

Your main responsibilities:

  • Purchase Ledger – maintaining the processing supplier invoices accurately and timely while ensuring all costs are recognised correctly.
  • Credit control – managing all overdue invoice communications and ensuring all invoices are paid in a timely manner.
  • Transactional book-keeping of records within our accounting system.
  • Processing and reconciling multi-currency banking transactions.
  • Administration and reconciliation of all company credit cards and related business expenditure.
  • Expenses - processing expense claims, checking claims and ensuring all receipts are provided, ensuring expenses claims are received and processed timely.
  • Finance processes and procedures – ensuring all processes and procedures are performed timely and accurately and to contribute to the development of processes.
  • Assisting the Financial Controller with multi-jurisdictional payroll administration.

 

To be successful:

  • Be part or fully AAT qualified - continued study support to be provided.
  • Previous Experience in a finance assistant role with a willingness to learn and develop 
  • Experience with Excel, Ledger management, receivable and payables administration and an accounting system would be an advantage. 
  • Great interpersonal skills to liaise with people within the business, outside of finance, as well as external stakeholders.
  • Thrive in a growing environment with demanding and challenging tasks that may change on a regular basis.
  • Have a can-do attitude, highly-motivated to learn and be willing to be flexible in what you do.

The opportunity

Due to our fast growth and international expansion we are now looking for our first Payroll Manager at Immersive Labs, reporting to the Group Financial Controller you will take ownership of the Immersive Labs Groups payroll activities most of this is currently outsourced so you will work closely with third party providers across the globe as we rapidly expand this will include establishing payroll operations in new regions. 

To be successful you need to be CIPP qualified with International Payroll Management experience and will thrive in an ever-changing environment where processes are still being defined.

Your main responsibilities:

  • Ownership of the day-to-day operations of the Group’s payroll activities.
  • Working with third party providers to deliver a timely and efficient payroll process to the Group’s geographically diverse and rapidly expanding workforce. 
  • Ensure the accuracy of the payroll.  Identifying and investigating discrepancies, with the support of third-party providers.
  • Working with our external provider to ensure the business meets all payroll tax and compliance obligations.
  • Supporting the rapid expansion in the workforce – including establishing payroll operations in new geographies.
  • Dealing with employee payroll queries.
  • Own all pension administration, for example auto-enrolment.
  • Working with the People team to ensure that all workforce changes are correctly reflected in the payroll.
  • Working with the Accounting team to ensure the payroll is accurately recorded in Netsuite.
  • Driving continuous improvement and streamlining of processes.

 

To be successful:

Knowledge

  • Experience as a payroll manager in a multi-site, multi-geo payroll.
  • Experience of managing an external provider relationship.
  • Experience working in a high-growth, entrepreneurial organization would be an advantage.

The opportunity

At Immersive Labs we are looking for a Procurement champion to help drive our exponential growth. Reporting to the Director of Strategy & Business Operations, you will have the high-impact responsibility for growing out a best in class Procurement function from the ground up, working alongside a fun and supportive Ops team and business partners. 

This is an exciting opportunity to add your mark to the business, the role will evolve as we grow and the team becomes more established. 

We expect this role to be a hybrid of working remotely and in our Bristol headquarters, and are open to discussions on weighting with the successful candidate.

 

Your main responsibilities:

  • Design and implement end-to-end procurement framework, strategy and processes
  • Build close relationships with business partners to understand their needs, identify requirements and lead supplier selection activities, including RFIs, RFPs and more
  • Negotiate contract terms with external vendors to realise cost savings
  • Build and maintain relationships with key providers and conduct regular business reviews to ensure that our requirements are being met and that we are maximising value 
  • Embed a data-driven approach: establish and implement KPIs, reporting (with support of our Ops BI Analyst), benchmarking, cost of ownership analysis and cost modelling
  • Develop strategic sourcing plans/pipeline, looking 12+ months ahead 
  • Own our vendor management systems
  • Ensure all supplier agreements are assessed for data privacy, security, compliance and other risks, and work with Risk, Legal and business owners to flag and address issues
  • Collaborate with business owners to optimise our SaaS tech stack
  • Collaborate with Legal and Finance to improve procurement-related processes, including category spend policies, standard contracting terms and purchase order process

To be successful:

  • Demonstrated experience managing a broad range of procurement responsibilities, including process improvement
  • Proven track record in delivering significant savings in external partner negotiations 
  • Very strong customer focus, interpersonal skills and ability to build working partnerships
  • Excellent organisational skills and attention to detail 
  • Ability to assess and negotiate contract terms
  • Sound financial, quantitative and analytical skills
  • An entrepreneurial mindset, with the ability to anticipate issues and opportunities and take responsibility for execution

This is a new opportunity to be the first Compliance and Information Security professional in North America to join the Risk and Compliance team reporting to the Information Security Officer. 

We have recently implemented ISO27001 successful and now need you to proactively partner closely with all go to market functions and teams to ensure the business is conforming including senior stakeholders in Sales, Marketing and Customer Success. You will continue to manage the Information Security Management System (ISMS) and respond to customer security questions. 

The role will evolve as we grow and the team becomes more established. You will need to be flexible and adaptable to change and willing to ‘roll your sleeves up’ as there is a little of everything to do.
